Before You Begin
You will need:
A business email address

Your calendar connected (optional but recommended for appointment booking)
Step by Step Setup
Create Your Account
Head to app.hellogubby.ai and click Sign Up. Enter your email address and create a password. You will receive a verification email. Click the link to verify your account and you are in.
Enter Your Business Information
After logging in, you will see the Quick Start wizard. Enter your business name, select your industry from the dropdown, and add a brief description of what your business does. This helps Hello Gubby understand your business context and respond appropriately to callers.
Hello Gubby supports 20 industries including home services, property management, real estate, salons and spas, medical and dental, legal, and more. Each industry has purpose built prompts that understand the specific terminology and workflows your customers expect.
Add Your Services
List the main services your business offers. Be specific. Instead of "plumbing services," add individual services like "drain cleaning," "water heater installation," and "emergency pipe repair." This helps Hello Gubby answer questions about what you offer and qualify leads based on the service they need.
Set Up Your FAQs
Add the questions your customers ask most often. Think about what your phone rings for: pricing questions, hours of operation, service area, how to book, what to expect. For each question, write the answer exactly as you would tell a customer on the phone.
Start with 5 to 10 FAQs. You can always add more later as you learn what callers are asking about.
Tip: Write your FAQ answers in a conversational tone. Hello Gubby will speak them naturally, so "We're open Monday through Friday, 8 AM to 6 PM" sounds better than "Hours: M-F 8-6."
Configure Your AI Agent
Give your AI agent a name (this is what callers hear when the agent introduces itself). Choose a voice that matches your brand. You can select from multiple voice options, including premium voices from ElevenLabs that sound remarkably natural.
You can also adjust the agent's personality. Should it be warm and friendly? Professional and efficient? Casual and approachable? Set the tone that fits your business.
Set Up Notifications
Configure where you want to receive call summaries and lead notifications. You can get instant email notifications after every call, SMS alerts for new leads, or both. This way you stay informed even when Hello Gubby handles calls automatically.
Make Your First Test Call
Before going live, test your setup. Click the Test Call button in your dashboard. This connects you directly to your AI agent so you can hear exactly what callers will experience.
Try asking questions from your FAQ list. Ask about booking an appointment. See how the agent handles requests outside its knowledge. This is your chance to refine the experience before real customers call.
You are ready! Once you are happy with how test calls sound, you can go live by forwarding your business phone number to Hello Gubby or adding the website widget to your site.

Common Questions During Setup
How do I know if my AI agent sounds right?
Make multiple test calls. Ask different questions. Have a friend or colleague call without telling them what to expect. Their feedback is valuable because they hear it fresh, without knowing what the agent "should" say.
Can I change things after I go live?
Absolutely. Everything in Hello Gubby is editable. Add new FAQs, update services, change the agent voice, adjust notifications. Changes take effect immediately.
What if callers ask something my agent does not know?
Hello Gubby handles unknown questions gracefully. It will acknowledge the question, offer to take a message, or transfer the call to you depending on your routing settings. You can also review call transcripts to identify new FAQs you should add.
How long until I see results?
As soon as you go live, Hello Gubby starts answering calls and capturing leads. You will see call logs, transcripts, and summaries in your dashboard after each interaction. Most businesses notice the impact within the first few days as calls that would have gone to voicemail are now answered and handled.
