When your AI agent handles calls and chats, we collect voice recordings and transcripts of those interactions, chat and message history, caller information captured during conversations, and appointment and booking data.

Business Information

To train your AI agent, we collect information you provide about your business, including services, FAQs, hours of operation, and other details. We may also collect information from your website if you enable website scraping.

Usage Data

We automatically collect information about how you use the Services, including pages visited, features used, call volumes, and performance metrics.

Device and Technical Data

We collect IP address, browser type, device information, and similar technical data when you access our website or dashboard.

How We Use Your Information

We use your information to provide and operate the Services, including powering your AI voice and chat agents, generate transcripts, summaries, and analytics, process appointments and lead information, send notifications about calls and activity, improve and develop our AI technology, communicate with you about your account and the Services, process billing and payments, comply with legal obligations, and protect against fraud and abuse.

AI and Third Party Processing

Hello Gubby uses AI services to handle voice and chat interactions. Your data is processed by cloud infrastructure and AI providers to deliver the Services. These include speech to text transcription services, text to speech voice synthesis services, large language model providers, cloud hosting and database services, and telephony and SMS providers.

These providers are located primarily in the United States and Canada. They are contractually obligated to protect your information and use it only to provide services to us.

We may use anonymized and aggregated data to improve our AI models and Services.

Data Sharing

We do not sell your personal information to third parties.

We may share your information with service providers who help us operate the platform, subject to confidentiality obligations. We may share information with third party integrations you connect, such as calendars and CRMs, based on your configuration. We may share information when required by law, legal process, or government request. We may share information to protect the rights, safety, or property of Hello Gubby, our users, or others.

Data Retention

We retain your data as follows. Call recordings and transcripts are retained for one year unless you delete them earlier. Account data is retained until you cancel your account, plus 30 days. Billing records are retained for seven years as required by law. Usage and analytics data may be retained in anonymized form indefinitely.

You can delete specific recordings and data through your dashboard. Upon account cancellation, we delete your data within 30 days unless retention is required by law.

Data Security

We implement appropriate technical and organizational measures to protect your data, including encryption of data in transit and at rest, secure cloud infrastructure, access controls and authentication, and regular security reviews.

No system is completely secure. While we work to protect your information, we cannot guarantee absolute security.

Your Rights

Depending on your location, you may have the following rights regarding your personal information.

Access: You can request a copy of the personal information we hold about you.

Correction: You can request that we correct inaccurate information.

Deletion: You can request that we delete your personal information, subject to legal retention requirements.

International Data Transfers

Hello Gubby is based in Canada. If you access the Services from outside Canada, your information may be transferred to and processed in Canada and the United States, where our service providers operate. By using the Services, you consent to this transfer.

Children's Privacy

Hello Gubby is not intended for use by individuals under 16 years of age. We do not knowingly collect personal information from children. If we learn that we have collected information from a child, we will delete it promptly.
